This privacy notice applies to you who is applying for a position with us, submitting an application, or expressing interest in a role with us. It describes which personal data we collect, why, and what rights you have. All processing of personal data is carried out in accordance with the EU General Data Protection Regulation (GDPR) and applicable Swedish data protection legislation.
What personal data do we process?
We process the personal data needed to manage the recruitment, for example name, personal identity number, contact details, CV, cover letter, education, grades, work experience, competencies, interview notes, references, and other information that you provide to us. We may also process information from referees or publicly available professional profiles, such as LinkedIn, where relevant to the recruitment.
If you choose not to provide the data necessary for the recruitment, we are unfortunately unable to process your application or expression of interest.
Why do we process your personal data?
We process your personal data in order to administer the recruitment process, assess your suitability for a role, communicate with you, and make decisions regarding any employment or internship.
The legal basis under the GDPR is primarily our legitimate interest in conducting an efficient and fair recruitment, as well as the fact that the processing is necessary in order to take steps prior to a possible employment contract.
How is your data processed?
Your personal data is handled using digital tools for communication, document management, and administration, such as email, cloud-based collaboration platforms, and AI-assisted summarization and writing tools. Some of these providers are based in the USA, which means that personal data may be transferred outside the EU/EEA. Such transfers take place on the basis of the EU Standard Contractual Clauses (SCCs) under the GDPR.
We do not use AI for automated decision-making with legal effect or other significant impact. All decisions are made by humans.
Who can access the data?
The data is shared only with the people who need it for the recruitment, such as the responsible recruiters, employees who conduct interviews or assessments, and the relevant managers at Montell & Partners. We never sell your personal data and do not share it with third parties for purposes other than those described here.
How long do we keep the data?
We retain your personal data for as long as necessary for the recruitment process and to be able to handle any legal claims. As a general rule, personal data is therefore deleted or anonymized within 12 months after the recruitment process has concluded. Certain information may need to be retained for longer in identifiable form if there is concrete reason to assume that a legal claim may be made, for example regarding discrimination, after which the data is deleted.
Your rights
Under the GDPR, you have the right to request a copy of the personal data we process about you. You may also request rectification, erasure, restriction of processing, or object to certain processing.
